Your own contract, filled in and signed online
Upload your Word template once and Vivin fills it in for every booking: tenant, dates, rent, deposit and fees. The tenant reads the contract and signs it in the tenant portal, a second tenant and a guarantor sign in the same flow, and the signed PDF is filed with the booking.

What Vivin does with your contracts
From your own template to the signed PDF, with every signer and every date change covered.
Your Contract, Your Word Template
Write variables such as {TenantName} or {RentValue} into your own .docx and upload it in Settings > Contract. Vivin fills in over 200 of them from the booking: tenant and ID details, dates, rent, deposit, fees, instalments and the virtual IBAN. Dates and amounts can also be written out in words in English, Portuguese, Spanish or Italian, so one template can be bilingual.
A Template per Property or Unit
Set one default contract for the account and give a property, or a single unit, its own template when its terms differ. Settings > Contract lists every property and unit with a custom contract, and each unit shows which template it uses. A NewDocument line adds a second document, such as the house rules, signed together with the contract.
Read and Signed in the Tenant Portal
The onboarding email sends the tenant to the tenant portal. There they fill in their details, upload the documents you require, scroll to the end of the contract to unlock Sign and draw their signature with a finger or a mouse. You decide which details and documents are mandatory, and AI can read an ID card or passport to fill in its details.
Second Tenant, Guarantor and Landlord
A second tenant and a guarantor sign in the same Sign Your Contract flow, or later: with Skip for now, everything else is saved and the contract waits for the last signature. Your own signature, drawn or uploaded once in Settings, is added automatically the moment the tenant signs.
Every Signed Contract Filed
The signed PDF is filed with the booking and stays in the tenant portal to download. From the booking you can preview, regenerate or resend the contract, or upload one signed on paper, and a Communication Rule can remind tenants whose contract is still unsigned 3 days before check-in.
Extensions and Date Changes
When Change dates extends or moves a stay, you choose what the tenant signs: the whole contract again, a contract for the new period only, or an addendum from your own addendum template, with the previous and new terms side by side and the signed contract kept in the booking's files. A starter rule can also offer tenants an extension 60 days before check-out.
How it works
Upload your template
Add your Word contract with Vivin variables in Settings > Contract, preview it, and save your landlord signature once.
Vivin fills it in
Each new booking gets its contract from the right template, filled in with the booking details, and the onboarding email invites the tenant to sign it in the portal.
Signed and filed
The tenant signs with a drawn signature, and so do the second tenant and the guarantor if there are any. The signed PDF is filed with the booking, which shows the contract as signed.
