The money, the paperwork and every change of plan, handled on the booking itself, so nothing is typed twice and nothing is left half done.
Every Booking in One List
Bookings shows every stay, from your team or any channel, as a list (All bookings) or on the Timeline. Filter by Upcoming, Ongoing, Ended or Cancelled, by property, tag, category or nationality, and export the list to CSV or Excel. Each tenant also has a profile with their bookings, payment plan and transactions.
Platform Import
Bookings from Airbnb, Booking.com, HousingAnywhere and the other connected portals come into Vivin automatically, with the tenant details, the dates and the price, so nobody types them in twice.
A Payment Plan With Every Booking
Each booking carries its rent, deposit and fees, and Vivin writes the payment plan from them: monthly rent, with part months charged by the day, by the fortnight or as a full month, or the rent in up to 4 equal instalments. You decide what the tenant pays to confirm the booking and before check-in, such as the deposit and the first rent.
Contracts for Tenant, Second Tenant and Guarantor
Vivin fills your own Word contract template with the booking's details, and the tenant reads and signs it in the tenant portal with a drawn signature. Add a Second tenant and a Guarantor on Contract Info: their details fill the contract, each signs in the same flow or later, and the signed PDF is filed once everyone has signed.
Change Dates, Extend or Change Room
Edit booking dates changes the dates only, or recalculates the payment plan and shows every line before and after; when the contract dates move, choose Whole contract, New period only or Addendum. Change room moves the booking before check-in, or continues the stay in a new unit during it, with the deposit moving across. Nothing is saved until the last step.
Cancellations and Deposit Refunds
Cancel Booking takes four steps: Full refund, Partial refund or No refund, the deposit, the refund line by line, then one confirmation that applies everything or nothing. Invoiced lines get credit notes for your team to issue. In Finance > Deposits, each deposit has a status and a refund due date, and Mark refunded records the transfer your team makes.
How it works
A booking comes in
Your team creates it in Create New > Booking, or it arrives from Airbnb, Booking.com or a connected portal with the tenant, the dates and the price.
The tenant signs and pays
The payment plan and the contract are ready on the booking. The tenant signs in the tenant portal, with the second tenant and the guarantor if there are any, and pays there.
Every change, then the refund
Extend, shorten, change room or cancel with the wizards as plans change, and close the stay by refunding the deposit from Finance > Deposits.
