From booking to signed contract in minutes: how to automate rental agreements
For every booking, there's a contract. And for most property managers, that contract means: open a template, manually fill in tenant name, dates, unit details, pricing, clauses… then convert to PDF, email it, wait for a signature, chase if it doesn't come, and finally file it somewhere you might find it again. Multiply that by 20 bookings per month and you've got a full-time admin job.
Vivin's automated contract generation takes most of this work off your team. A booking is confirmed - from a mid-term portal, your booking engine or your own team - and the contract is generated from your own Word template, pre-filled and sent to the tenant to sign online.
The manual contract bottleneck
Contract processing is one of the most time-consuming tasks in property management. An illustrative estimate, not Vivin data - a manual contract process can easily take:
- 20-30 minutes per contract on data entry and formatting
- 2-5 days average turnaround for signature collection
- 3-4 follow-up emails per contract to chase signatures
- 15 minutes per contract searching archives when needed later
In this estimate, a manager handling 200 bookings per year spends 100+ hours just on contract admin. And every manual entry is an opportunity for error - wrong dates, wrong pricing, wrong unit number.
How Vivin automates the entire flow
1. Booking triggers contract generation
When a booking comes in from a mid-term portal such as Spotahome or HousingAnywhere, or from your booking engine, Vivin generates the contract automatically - no button to click. When your team creates a booking by hand, ticking Send onboarding email & contract does the same. Airbnb and Booking.com reservations are not sent a contract automatically.
2. Smart data insertion
The contract is pre-filled with all booking data:
- Tenant name and contact details
- Unit address and room number
- Check-in and check-out dates
- Monthly rent, deposit, and admin fees
- Payment schedule and due dates
- Your own clauses (house rules, notice period, utilities policy), exactly as written in your template
Every variable is filled from the booking data - no copy-paste and nothing to retype.
3. Your own templates, for each contract type
Different jurisdictions and business models require different contract structures. In Vivin the wording is always yours: you upload your own Word (.docx) template in Settings > Contract, with variables in curly brackets such as {TenantName} or {CheckInDate}, and Vivin fills them in. One template is the account default, and a property or a single unit can have its own, for example:
- Traditional rental contracts - your standard lease agreement
- Accommodation services contracts - for operators running as service providers (common in coliving)
- A custom contract for one building or unit - when it needs different terms from the rest of your portfolio
4. Digital signature in the tenant portal
The generated contract is attached to the onboarding email Vivin sends the tenant, and the tenant signs it in the tenant portal: they read it to the end, draw their signature and sign from any device - phone, tablet, or laptop. A second tenant and a guarantor can sign in the same flow (see co-tenants and guarantors). It is a simple drawn signature built into Vivin, with no third-party signing service. No printing, no scanning, no postal service.
5. Automatic filing
When everyone has signed, Vivin produces the signed PDF and files it in the booking's files and in the tenant's Documents in the portal. Need to find the contract for Room 4B from September 2025? Search your bookings by tenant or unit, open the booking, and the contract is there.
The end-to-end booking pipeline
Here's what the full automated flow looks like in Vivin:
- Booking confirmed on a mid-term portal or your booking engine → imported into Vivin automatically
- Tenant record created → contact details, documents, booking history
- Contract generated → pre-filled with all booking data
- Onboarding email sent → contract attached; the tenant signs in the tenant portal from any device
- Payment plan created → rent, deposit, and fees scheduled with due dates
- Virtual IBAN assigned (when payments are active) → tenant receives payment instructions
- Calendar updated → availability synced across all channels
From booking confirmation to a contract in the tenant's hands with payment instructions: no manual steps for your team. The only step left is the tenant's signature.
Time saved, errors avoided
An illustrative estimate, not Vivin data:
| Metric | Manual | With Vivin |
|---|---|---|
| Contract preparation time | 20-30 min | 0 min (automatic) |
| Signature turnaround | 2-5 days | Hours |
| Retyping errors per 100 contracts | 5-10 | 0 |
| Contract retrieval time | 10-15 min | Seconds |
Automate the paperwork, focus on the business. Vivin's contract generation turns what is often a 20-30 minute manual task into an automatic one - from your own Word templates, with a drawn signature in the tenant portal and every signed PDF filed on its booking.
